We will prearrange and confirm each activity within your package. Then we finalize the initial outline process with a discussion of your budget goals and time-based payments. Our travel experts will provide you with viable economic solutions that enhance your tour without raising your budget.
Based on your budget, group objective, and overall interests, we will begin to build an itinerary for your educational trips, class tours, music tours, and other group travel tours. We place a priority on scheduling activities that will interest each member of your group. We aim to exceed the level of educational expectations for school groups or leisure expectations for senior travel and corporate incentive trips. Transportation, accommodations, restaurant reservations, and entertainment are carefully woven into the schedule to complete the program.
At this stage in the process we will offer a complete packet for your review either electronically or via US Post, as you prefer. Based on the preliminary itinerary created with your PPT representative this will now contain details on all aspects of your trip including chaperone packages, hotel security, on-site tour director, transportation needs, possible upgrades, and all taxes and tips.
Upon review of the packet – we will continue to refine your trip to meet specific needs, interests and budget concerns until we have crafted a trip that meets with your approval.
Ready to commit? The next step will include our finalizing the itinerary and budget in order to provide you with a contract which will also include a payment schedule designed to offer you as much flexibility as possible while still meeting the payment requirements of our suppliers. Financial planning is essential for the success of any tour, let us offer some fundraising ideas and guidance in how to keep your group on track for meeting payment deadlines.
Upon receipt of the signed contract and initial deposit, we will move forward with finalizing your trip. You will continue to receive helpful materials such as rooming lists, packing ideas, security procedures, educational materials and activity brochures.
On the day of departure, you and your group will be picked up by prearranged transportation at a designated area or airport. Your Tour Director will greet you upon arrival at your destination.
As your tour unfolds, your Tour Manager is with you every step of the way, taking care of all details including air and ground transportation management, food & beverage management, admission ticket pick-up; activity management; hotel check-in; and all other aspects of your itinerary that may need attention. Your Tour Manager allows you to enjoy the trip with the rest of the group and if any unanticipated difficulty occurs, your Tour Manager is there to provide a choice of alternative solutions.
